Outlook Integration

The most common way to send faxes through the NET SatisFAXtion server is to use the Outlook Integration.  When the Client Suite is installed on a user’s computer, the Outlook Integration adds functionality to the Outlook Client that gives you several ways to create a new fax message.  The simplest way to create a new fax message is to click on the Fax button that has been added to the toolbar:

Clicking on the Fax button will create a new fax message which has two tabs.  The first tab is simply the Message Tab, which allows you to enter text as it would appear on a cover page.  The second tab is the Fax Options Tab which allows you to change default settings such as your voice and fax numbers, the cover page to be used, billing codes, fax resolution, etc.:

You do not need to click the Fax button to start a new fax, though.  You can simply start a new Outlook message by clicking on the New button and then select an option from the Fax menu option:

From this menu, the option can choose to Select fax recipients from Address Book.  If that option is selected, all Address Books available to the user through their normal Outlook installation are available to address the fax.  If the user has populated the Business Fax field in an address record, the phone number in that field will be used to address the fax document.  Outlook displays the word FAX as the E-mail Type when the Business Fax field has been populated:

Another way to create a new fax message is to open your Outlook Address Book and right-click on an entry that contains an E-mail Type of FAX.

If an address record for the desired recipient has not been created, the user can still address the record by selecting the Add Fax Recipients To This Message menu item.  By adding the Name, the Company and the Fax Number an clicking the Add button, the fax will be addressed to that individual.  The dialog box remains open so that additional destinations can be added:

Regardless of the method used to address the fax message, the address will be appropriately formatted for the type of mail gateway installed on your fax server.  The following is a sample with the address formatted for an SMTP gateway:

When the Send button is clicked, the document will be delivered to NET SatisFAXtion and be prepared and scheduled for delivery.  If you have chosen the option to preview all faxes, the following dialog box will appear when your fax is ready to be transmitted:

If you click on the Preview button, the image viewer that was selected as part of the client installation will open with the document to be faxed.  Since the NET SatisFAXtion fax viewer was selected for this client install, the document will appear as follows:

The default cover page has been populated with addressing information for this faxed document.  By clicking on the individual pages in the left column, you can view each page of the document prior to it being sent.

Before clicking on the Attach to E-mail button, you can add pages from other applications to this document.  Simply leave this window open, switch to another application and print that document to the FaxOut printer.  The pages of that document will be combined with those already in the viewer and will become a single attachment to the fax message.

If you chose to install the Real-Time monitor during the installation of the Client Suite, you'll be able to monitor the progress of your fax.  When the fax server has an available line and is ready to deliver the fax, a dialog box will appear on the your computer showing the real-time status of the fax transmission:

Once the fax has been delivered successfully or has failed after its final attempt, an email notification will be sent to you:
