Application Integration NET SatisFAXtion is the
ability to automate addressing of documents by extracting information from the
data stream. If you have a document that is used repeatedly in a template mode, formatting the
template can cause the document to be automatically addressed when printed as a
fax. There are two methods to accomplish this automation. First, you
can colorize the text prior to printing the document to the FaxOut printer and
second, you can use Identification Fields to extract data from text locations.
Address Automation using colorized text
By adding standard colors to contact information to a
document before printing it to the FaxOut printer, the information can be used
to automatically address the document. The following colors have
been identified by the automation process for addressing purposes:

Coloring text is the way to instruct the automation process to
extract the colored data for the corresponding contact information. Once
extracted, black will be substituted for the colorized text.
When the document is displayed in the viewer, select
Identify > Show Address to display the information extracted into the various
contact fields. After you have annotated the document as desired and have clicked the Attach to E-mail button, a dialog screen will appear that will allow any
changes to the extracted information:

After clicking OK, the document will be attached to a new
Outlook Fax Message and addressed according to the extracted and edited
information:

Using this font colorization process, you can greatly
increase your productivity by using this automation process to automatically
address fax documents.This automation process is available from any application
that allows you to change the color of text. For example, QuickBooks allows you
to customize the appearance of standard forms. By simply going into the
QuickBooks Customize Form facility and adding the appropriate font color to
various fields, the addressing information can
be extracted from data that exists on the document.
Address Automation using Identification Fields
Since some applications may not give you the ability to modify
font characteristics and change the font color, another way to
accomplish address automation is available. NET SatisFAXtion Automation allows
you to create automations by creating Identification Fields. To illustrate this process,
a document was printed from QuickBooks to the FaxOut printer, causing it to appear in the viewer.
You can now select Identify >
Company and a location box labeled Company will be placed in a generic
position on the document. Move this box and resize it until it covers the
data area in which the Company’s Name will be printed. Repeat this process
for other fields such as Fax Number and Subject:

Once you have positioned the boxes, select Identity > Show Address
and you will be shown the data that will be extracted and placed in addressing
fields:

Once you have positioned the Identification Field boxes as desired,
click the Attach to E-mail button and your document will be attached to a
new e-mail document, automatically addressed.
To transform the locations of these boxes into an
Automation Template, select File > Save as Template. As a
user of FaxOut, you are able to create a single Automation Template. In
addition to the identity boxes, you can add annotations which will be saved as
part of the template. If you create a default template as described, it
will be used whenever you print a document to the FaxOut printer. You can
reposition the Identification Fields and add or delete fields and
annotations. You can either save this as a template which will replace the
existing template or choose not to save as a template which will cause the
automation process to occur for this document only.
